FBAOSC Reservation policy letter

Making a Reservation

All FBAOSC members will receive an Evite for each OSC event two weeks prior to the event.  FBAOSC members will receive an e-mail requesting that they view the Evite invitation online.  To ensure a reservation you must respond “YES” to the Evite invitation and indicate your menu choice for the event.  Your Evite response must be received no later than 5:00p.m., seven days prior to the event.  Responses made after the 7-day deadline will be placed on a waiting list and are not guaranteed a reservation to the event.  On the day of the event payment can be made by cash or check.

Cancellation of a Reservation

To cancel a reservation, you must change your Evite response to “NO” by 5:00p.m., at least seven days prior to the event. Cancellations made through Evite after the 7-day deadline will not be honored. FBAOSC is obligated to pay for all reserved meals, regardless of attendance to the event. Therefore, if you do not cancel your reservation and do not attend the event, you will be billed by mail for the cost of your meal. In the event of an emergency after the cancellation deadline has passed, please contact the Reservations Chairperson listed below and give notification that you will be unable to attend the event. The Chairperson will make every effort to fill your reservation from the waiting list, so you are not charged for your meal. However, this is not guaranteed. Note: if you are billed for nonattendance, the past-due amount MUST BE PAID before your reservation for future events can be accepted. A pre-addressed, postage-paid envelope will be included with your bill for your convenience.

Walk-Ins

Walk-ins will be allowed if seats become available due to cancellations, only after the waiting list has been depleted.

Guests

OSC members may bring as many guests as they like to OSC programs. To hold a guests’ reservation(s), you must indicate on your Evite response the number of guests you will bring. If your guest does not attend the event and you do not cancel their reservation by the 7-day deadline, you will be held responsible for the cost of their meal. A guest who is eligible to become an OSC member may only

attend one OSC program. In order to attend additional events, the guest must become a member. Non-eligible guests may attend all OSC programs as guests of a member.

Childcare for OSC Luncheons

Childcare for OSC luncheons will be provided at Rodriquez Childcare Development Center or STACC located at the Soldier Support Center. Cost of childcare is $4.00 per hour with a 2-hour minimum. Childcare will be provided from 10:30 a.m. until 1:30 p.m. on luncheon days. Your child must be registered with Child Development Services and have a valid CDS number. Reservations for childcare must be made to the Childcare Reservations Chairperson listed below at least 15 days before the OSC function. After the deadline, you can call Rodriguez CDC at 396-5429 or STACC at 396-2465 to see if any childcare slots are still available.

Childcare Cancellations

When cancelling your reservation to an OSC luncheon, please do not forget to cancel your childcare reservation. You must give 24 hours’ notice to Rodriguez CDC at 396-5429 or STACC at 396-2465 to cancel childcare. Failure to cancel will result in a $7.00 charge to you.

Reservations Chairperson

Please contact the Reservations Chairperson listed below if you do not have access to e-mail or with any questions you may have regarding this policy.
